FanDesk uses AI throughout the email experience — from classifying every incoming email in under a second, to generating contextual replies, summarizing long threads, and suggesting email rules that automate your inbox.

FanDesk's AI analyzes every incoming email and extracts structured metadata automatically:

How It Works

Fast pattern matching handles obvious cases (noreply senders, newsletter patterns, Gmail category labels) instantly. Claude Haiku processes ambiguous emails for accurate classification — all within a second of the email arriving.

Action Tagging

Every email receives an action tag based on what you need to do with it:

Using Action Tags

Filter by action tag in your inbox:

  1. Click the Action filter dropdown
  2. Select NEEDS_ACTION, ACTION_LATER, etc.
  3. See only matching emails

Check due dates for ACTION_LATER emails:

  • Due dates extracted from email content appear in the email list
  • Overdue ACTION_LATER emails are highlighted in red
  • FanDesk can send a reminder when the due date approaches

Correct a wrong tag:

  1. Open the email
  2. Click the action tag displayed near the email header
  3. Select the correct tag from the dropdown

AI Reply Generation

Generate a contextual reply to any email with one click:

Using AI Replies

  1. Open an email
  2. Click AI Reply in the toolbar
  3. Choose the reply tone:
    • Professional — Formal business language
    • Friendly — Warm but professional
    • Concise — Brief and to-the-point only
  4. AI generates a full reply draft in the compose panel
  5. Review, edit if needed, and send

What the AI Considers

  • The full email thread (up to the last 5 messages)
  • The sender's tone and writing style
  • The original question or request being addressed
  • Deadlines or dates mentioned in the thread

Incoming Email:

Hi, can we reschedule our meeting from Thursday to Friday? The 2pm slot works for me.

AI-Generated Reply (Professional):

Hi [Name],

Thank you for reaching out. Friday at 2pm works well for my schedule. I'll update the calendar invite accordingly.

Best regards

Always review AI-generated replies before sending, especially for sensitive topics, complex negotiations, or anything requiring a personal touch.

Write a rough draft and let AI polish it:

Using Draft Improvement

  1. Compose your email draft
  2. Click Improve with AI in the compose toolbar
  3. Select the improvement mode
  4. AI rewrites the email in the compose panel
  5. Review, adjust, and send

Subject Line Suggestions

When you can't nail the perfect subject line:

  1. Write your email body first
  2. Click Suggest Subject in the compose panel
  3. Get 3-5 AI-generated subject line options
  4. Click the one you like to insert it

AI generates subjects that are:

  • Clear and descriptive of the email's content
  • Action-oriented when the email has a request
  • Under 60 characters to avoid truncation in inboxes
  • Free from common spam trigger words

Thread Summarization

Get a concise summary of any email thread — especially useful for long back-and-forth conversations you've been looped into:

Using Thread Summary

  1. Open an email thread
  2. Click Summarize in the toolbar
  3. AI analyzes all messages in the conversation
  4. A summary card appears at the top of the thread

What the Summary Includes

  • The main topic and context of the thread
  • Key decisions made across all messages
  • Action items and who is responsible
  • Deadlines mentioned anywhere in the thread
  • Open questions that haven't been answered

Multi-Account Support

Thread summarization works for both Gmail and IMAP accounts. FanDesk fetches full message bodies from your mail server to provide accurate summaries even for IMAP accounts.

AI Inbox Triage

Get a prioritized view of your inbox via DeskMate:

Ask DeskMate:

  • "Triage my inbox — what needs attention today?"
  • "What are my most urgent unanswered emails?"
  • "Which emails from this week still need a response?"

DeskMate uses the action tagging and classification data to give you an organized briefing of what matters most.

AI Email Rule Suggestions

FanDesk can analyze your inbox patterns and suggest automation rules:

  1. Go to Mail > Rules
  2. Click Suggest Rules
  3. AI recommends rules based on frequent senders, patterns in your email handling, and common subjects
  4. Accept suggestions with one click
